Sage HRMS Q3 2020 Product Update Overview

SAGE HRMS UPDATE OVERVIEW

Sage HRMS 2020 Q3 is now available! There are several areas of the product that have been updated including payroll tax forms, payroll processing, sage HRMS core product updates, employee self service and more!  Read on for our high level overview and check out the product release notes for more details.

Payroll tax updates

There are state payroll tax updates for Kentucky, Ohio & West Virginia in the latest release.

Payroll updates

Fix for Paychecks
On paychecks, you can now include hours paid for earnings in the Accrual category. To do so, use the following database field in your customized reports: UPPCKD.OYTDAMT.

Secure Query
You can now use Secure Query with your Payroll data. The Payroll and Canadian Payroll menus now have the Secure Query menu item. Sample payroll queries are also now available in sample data.

Create EFT File
The Payroll and Canadian Payroll menus now have the Create EFT File menu item.

COVID earning code
If you set up an earning code of COVID, you can now successfully run Print/Post Checks and Synchronize Payroll History

Head of Household filing status added for Arkansas Income Tax
On the Employee Payroll window, a new Head of Household filing status has been added for Arkansas Income Tax (ARSIT).

deferring U.S. Social Security tax withholding

Sage has reviewed the August 8 Executive Order and the subsequent guidance from the Treasury related to deferring social security tax withholding. Companies have the option to participate. Before your company decides whether to defer social security taxes, we recommend talking with your CPA or financial advisor.

If your company decides to defer these taxes, note that:

  • The deferral period is September 1, 2020 through December 31, 2020.
  • The deferred taxes must be paid back between January 1, 2021 and April 30, 2021.

To protect yourself and your employees if you implement this deferral:

  • Ensure your employees understand that they must pay back the deferred Social Security taxes
    between January 1 and April 30, 2021.
  • Decide how to pay back the deferred amount, such as by withholding twice the normal amount between January 1 and April 30, 2021 from employee paychecks.

NOTE: the repayment plan should cover all circumstances, such as when an employee leaves the
company or when an employee earns more or less during the repayment period.

See the document attachment in Sage Knowledgebase article 106672 for the suggested setup for an earning to accumulate the amount deferred for the employee as well as a deduction to handle repayment.

The changes for Form 941 released with the Q3 2020 update were based on the draft form from the Internal Revenue Service. They have now finalized Form 941 and did not make any changes. Form 941 is
ready for use. See the instructions from the IRS about how to report the deferred taxes.

SAGE HRMS CORE PRODUCT UPDATES

New link to diagnostic information
The home page now includes the new Diagnostic Information link.  When you click the link, your default browser opens and displays two tabs titled Product Information and Machine Information with information that can be used by the Customer Support team to help diagnose issues. 

Query changes and CCPA compliance
To comply with the California Consumer Privacy Act (CCPA), which is effective January 2021, there is a new Human Resources Consumer Privacy Act query to show the personal information being maintained for each employee. 

Employee Attachments
You can now successfully select to upload an attachment with the XLSM or DOCX format that was created using some newer versions of Office 365 with the Windows 10 operating system.

Payroll Database ID
If you use Sage 300 Payroll and add HR, you can now specify the Payroll Database ID on the Employer Setup page in HRMS. This enables you to run Synchronize Payroll History successfully

Customer Number
When you open a new installation of HRMS (or an installation where the customer number was never entered), the system will now prompt you for your customer number.

Export Employee Table
On the Employee Find page, you can now click the Export button to export the current view of the employee table (including any filters) to a CSV file in a location that you specify.
(If social security numbers are masked in the view, they are also masked in the CSV file.)

My links
The Add to Menu check box was added to the My Links tile on the home page. Select this check box to have your links added to the Connected Services > My Links menu so those links are more readily accessible

Time Off Requests
When an employee is assigned to more than one attendance plan that has the same type and they submit a time off request for one of those plans, their home page now shows the request for the correct plan (not all plans of the same type).

Security Questions
The Master User can create custom security questions, which can then be selected (as well as the security questions provided by Sage) on the Logon Setup page to be choices for employees when they set up their logon security. Individual users can now create and use their own security question when creating their login for the first time or changing their logon information (on the Change Logon page).

Sage Payroll Tax Forms and eFiling by Aatrix

Sage Payroll Tax Forms and eFiling by Aatrix is a feature included with Sage HRMS. This functionality provides updated reports and forms at no cost and enables Sage HRMS users to fill out and file tax forms electronically for a fee.  To begin using tax forms with Sage Payroll Tax Forms and eFiling by Aatrix, open one of the tax forms available in Payroll > Government Reports > Federal Tax Filing or State Tax Filing.

You will be prompted to register your organization with Sage Payroll Tax Forms and eFiling by Aatrix.

After registering, you have the option to enroll your company (or companies) in the eFiling service.
